NECN Privacy Policy

This policy sets out the Board of Trustees’ position data privacy in particular linked to data collected when users interact with the NECN website or complete the contact form at https://estatechurches.org

What personal data we collect and why it is collected

Comments
When visitors leave comments on the site the data shown in the comments form is collected and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymised string created from the email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/ After approval of a comment, the commentator’s profile picture is visible to the public in the context of the comment.

Media
If images are uploaded to the website, they should not have embedded location data (EXIF GPS) included as Visitors to the website can download and extract any location data from images on the website.

Contact forms
If a user has subscribed to the NECN newsletter mailing list by completing our contact form (or given permission to be subscribed through another method of contact) we will store their name and e-mail address for the purposes of sending a regular newsletter and occasional information about events. Users who are subscribed to our mailing list can unsubscribe at any time by using the unsubscribe link at the bottom of the e-mail or by contacting our Support Officer at info@estatechurches.org.

Cookies
If a comment is left on our site the commentator may opt-in to saving their name, email address and website in cookies. Cookies mean that the commentator does not have to fill in their details again when they leave another comment. These cookies will last for one year.

If an account user logs in to this site, a temporary cookie is set to determine if the browser accepts cookies. This cookie contains no personal data and is discarded when the browser is closed.

When a user logs in, several cookies will be set up to save the login information and screen display choices. Login cookies last for two days, and screen options cookies last for a year. If “Remember Me” is selected the login will persist for two weeks. When the user logs out of their account, the login cookies will be removed.

If the user edits or publishes an article, an additional cookie will be saved in their browser. This cookie includes no personal data and simply indicates the post ID of the article that was edited. It expires after 1 day.

Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about the user, use cookies, embed additional third-party tracking, and monitor interaction with that embedded content, including tracking the interaction with the embedded content if they have an account and are logged in to that website.

Analytics
NECN uses Matomo Open Source analytics. Only NECN and by extension Gingerling Design have access to this data.

NECN uses Matomo to analyse traffic to, and understand visitors behaviour on, the website: this helps to improve the website. All data including IP address is obfuscated and anonymised. A first party cookie is added to your computer, but this cookie cannot be used to identify the user personally. The cookie will stay on the user PC for 13 months unless deleted. Matomo respects browser settings including “Do not track”. This data is not shared with anyone else.

Who we share data with

NECN’s mailing list is managed through the third-party platform, Mailchimp. If a user has subscribed to our mailing list, Mailchimp will use and process this information to provide the service in accordance with their privacy policy, they will not sell our mailing list to anyone else.

How long we retain data

If a user leaves a comment, the comment and its metadata are retained indefinitely. This is so NECN can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on the NECN website (if any), the personal information they provide in their user profile is also stored. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

If a user unsubscribes themselves from our mailing list, Mailchimp will keep their data to ensure we do not re-subscribe them to the list or alternatively they can contact us to request that their data is permanently deleted from our mailing list.

User rights

If a user has an account on this site, or have left comments, they can request to receive an exported file of the personal data NECN hold about them, including any data they have provided. The user can also request that any personal data is erased. This does not include any data NECN are obliged to keep for administrative, legal, or security purposes.

Where data may be sent

Visitor comments may be checked through an automated spam detection service.

The NECN website contains links to other websites. Our privacy policy applies only to our website, so if you click on a link to another website, you should read their privacy policy.
